Current Clients.

Current clients of The Therapy Loft have exclusive access to the client portal using the platform Owl Practice. Through this secure platform, clients can conveniently book, reschedule, or cancel appointments, view their financial records such as receipts and invoices, and manage payment information. Please note that only existing clients may use Owl Practice to schedule sessions.

Access to the client portal is available to current clients for managing appointments and accessing resources. If you are not yet a client and wish to book an appointment, please send an email first to initiate the process. Once your intake is complete, you will receive instructions to access the client portal.

Policies.

  • All information released to your therapist, Cassie Cole at The Therapy Loft, is strictly confidential. In order for any information or documents to be released, a consent form must be signed by the client (or parent/ guardian if the client is under the age of 16).

    The information obtained on our intake form and during counselling is confidential and will not be released without first obtaining your informed, voluntary, and written consent. However, there are certain rare situations in which I may need to release or discuss information related to your file. These situations are:

    1. When there is a risk that the client may cause harm to themselves.

    2. When there is a risk that they client may cause harm to others.

    3. When there is a risk to the safety of a child under the age of 19, including abuse, neglect, the use of physical discipline, or exposure to family violence.

    4. When information is subpoenaed by courts.

    5. If otherwise required by law.

  • By consenting to virtual therapy, you are consenting to the following:

    • I consent to participate in virtual therapy and understand that I can revoke my consent at any time.

    • I understand that with any virtual therapy sessions, there are additional risks and therefore privacy cannot be guaranteed.

    • I understand that The Therapy Loft is not responsible for ensuring that my personal computer, mobile device, home internet, or Wi-Fi connection is secure.

    • I acknowledge there are risks associated with using personal devices and/or networks and I will not hold The Therapy Loft liable for any losses associated with participating in video sessions on my own devices.

    • I understand that neither my therapist, nor I, will record the session unless we have written consent from each other to do so.

    • I agree to attend my virtual therapy sessions in a private space and will not attend my sessions in a public or nonsecure environment.

    • I understand that I may request to stop virtual therapy at any time and request in person services.

    • I understand that all billing policies of The Therapy Loft will continue to apply when using virtual technology, and that payment is expected at the time of my appointment. I am aware that if I do not cancel my session 24 hours in advance, and/or if I do not show up for my remote session at the designated time, I will be billed for the appointment.

  • Please note the following payment policy is in effect:

    All session fees are due in full after your session has concluded unless otherwise arranged in advance. If you wish to pay directly instead of direct billing, payment can be made via credit or debit card that is on file on your Owl Practice account, tap, e-transfer, or cash (exact amount). Once payment is received, I will send you a receipt via email. You can also access this via the client portal.

    I can direct bill most insurance plans. The most common companies I direct bill to are: Blue Cross, Canada Life, and Manulife. You can see a list of insurance companies on my website under 'Service and Fees'. Any portion not covered by an insurance plan is to be paid via card on file, tap, e-transfer or cash (exact amount) and is due

    after your session has been concluded unless previously discussed.

  • Please note the following cancellation and missed appointment policy is in effect:

    A full 24 hours notice is required for cancelling appointments. You can cancel your session by logging into your secure Owl Practice account or by sending me an email to cassie@thetherapyloft.org. Please note that online cancellations can only made with 24+ hours notice.

    If you cancel your appointment with less than 24 hours before your appointment time, you will be billed for the full cost of your scheduled session - i.e. $150 for a 50-minute individual session and $175 for a 50-minute couples session.

    If you fail to show up for a scheduled appointment ("no show"), you will be billed for the full cost of your scheduled session - i.e. $150 for a 50-minute individual session and $175 for a 50-minute couples session.

    If you are running more than 15 minutes late for your scheduled session and have not communicated with me, your appointment will be considered a "no show" and you will be charged for the full amount of your session. Please also note that if you are late your session, your session will still end at the originally scheduled time and the full session fee will apply.

    If you cancel your appointment with less than 24 hours notice or do not show up for your appointment, full payment must be received before booking a new appointment.

    Exceptions:

    I understand that things can happen that are out of our control. If your late cancellation or no show is due to an extenuating circumstances, please contact me to discuss the possibility of waiving this fee.
